Last week was National Get Organized Week. I challenged my team to come up with at least three things they wanted to organize. It could be personal, professional, digital, etc. Here was my list:

  • Organize my Google Drive folders
  • Organize my iPhone apps
  • Organize my box of chargers and cords
  • Organize my file cabinet
  • Organize under the bathroom sinks at the office (both)

My list could literally go on for days because I LOVE ORGANIZING. (Before you ask, yes, I’ve seen all the Tidying Up and Home Edit episodes on Netflix that my little organized heart can desire.) I’m a believer that a disorganized workspace or home can really have an impact on your physical health, leading to things like fire hazards, dust on dust on dust, and even mold. A cluttered desk could make you misplace important paperwork. An unorganized pantry could cause you to make poor or unhealthy food choices … the list goes on.

You don’t have to look too far to see how disorganization can affect your mental health as well. Unfinished project lists and piles of to-dos could contribute to stress, anxiety, or even depression. Organizing aspects of your workspace and home space can make it easier for you to live a happier life. 

First, let’s tackle a few things … like your excuses.

  • I’ve never organized before.
  • I don’t know where to start.
  • I have too much stuff.
  • I don’t have the time.

Heard them. Said them. Over them. The benefits of organizing FAR outweigh the excuses. Some of those benefits include:

  • Reducing anxiety and stress levels
  • Making healthier life choices (food, workout)
  • Improving sleep
  • Increasing productivity
  • Freeing up more time and energy to focus on the important things in life (this is my favorite)

Now that I’ve called you out on your excuses and told you all the great things that organizing can do for you, here are just a few tips to help you find your inner Marie Kondo.

  1. Remove it. Take it all out. Remove everything from the closet, the pantry, the shelves, the file cabinet, the desktop, all the things. Out.
  2. Clean it. Clorox wipes, Windex, duster, etc. Wipe it down and clean it off
  3. Categorize it. Make piles for donate, trash, recycle, sell, keep, and undecided.*

*Some hints on this one. If you love it or use it, keep it. If you’re selling it instead of donating it, make sure it’s something you can price to make it worth your time and effort. If you’re undecided, I err on the side of keeping it, but make note of it and revisit it again in a few months. If you haven’t used it, it’s probably best to donate it and let someone else benefit from it. 

The same concept applies to digital organization as well. Organizing my Google Drive was at the top of my list. I use it frequently, and it was so disorganized that every time I opened it I got stressed. I started organizing and trashing.

First, I created a “Personal” and “ReThinc” folder as my two parent folders. Everything I need to keep falls into one of those two categories. Then, I went through each file and moved it into the appropriate folder. From there, I started looking at common documents. For my personal folder, I created subfolders for photos, recipes, etc. For the ReThinc folder, I had proposals, contracts, blogs, etc.

Now that everything is labeled, I save time and eliminate stress by utilizing these two organized folders to help me find what I need quickly. It will also help me stay organized in the future because I took a little time out of my day to set up this system. 

Organizing doesn’t have to be incredibly time consuming. Identify areas that could be improved and spend a little effort working on them. The time you waste looking for an item or being stressed about the clutter could be energy you put toward changing your situation. As you focus on being more organized, you’ll notice other aspects of your life improving as well.

I play this song in my head everyday:

Not kidding. I love my job.

I have rough days.
I have tasks I don’t technically enjoy doing.

But overall, I really really really love my job.

However, no matter how much I love my job, I need a break.

And I’m not just talking about a lunch break that I admittedly don’t always take. I’m talking about little mental breaks throughout the day to relieve myself from mental and physical exhaustion.

Studies have shown that we lose our focus and ability to perform tasks well if we continue to do the same task for long periods of time. Brief (and I hope I don’t need to define brief, but I will below) deviations from a task can really improve your ability to focus for a long period of time.

Now I don’t know about you, but when I look at my day and think about trying to take a break, let alone many breaks, I very quickly laugh it off. But there are ways to break up your day without breaking up your productivity. Try some of these our for size:

Take a Quick Walk:

Down the street. Around your backyard. From the first floor to the seventh. Wherever you go, take a couple minutes away from your desk. Getting up and out of your chair can help clear your mind and maybe even boost some creativity. Bonus points for walking outside and soaking up some of that vitamin D we’ve learned we’re all deficient in.

Stretch:

If you’ve been sitting for a couple hours, stand up and put yourself in a little Tadasana. Lucky enough to have a standing desk? Bring that leg up and put yourself in a Vrikshasana. I’m not saying go full Natarajasana here, but taking a couple minutes to stretch gets you off your feet and your blood pumping.

Drink Water:

This one should be an easy one. You should be drinking water all day while at your desk. Not drinking water can make you groggy, irritable, and headache-prone. Nobody likes an afternoon grump. Bonus breaks here are if you’re drinking water all day – bathroom breaks!

Traditions with Co-Workers:

Breakroom dance party? Sure! 2 minute trivia? Bring it! 7 minute HIIT workout in the courtyard? Let’s do this! Bonding with your colleagues is one of the perks of working in an office environment. It’s important on many levels. Try creating little traditions throughout the day that bring you together and rejuvenate your energy.

Meditation:

OK, so admittedly, this one is very much not me. But, it’s some people, and I think it’s a great way to take a mental break if you’re into this sort of thing (or open to trying it at least). There are a lot of free apps and videos out there that offer a quick 5 minute guided meditation break. Meditation can help you deal with stress, negative thoughts, and can boost positive skills like awareness. All you need is 5 minutes and an open mind.

Healthy Snacks:

Emphasis on the healthy here. A bacon cheddar sandwich from Starbucks to start your day, while delicious, will leave you with a major mid-morning crash. Instead, eat something a little more balanced and grab some healthy snacks for the day. Also don’t drink soda, opt for some of that water I talked about earlier.

Clean:

I threw this one in here for me. This is what I do, and it does a couple things for me: I have a clearer mind when I’m not staring at a lot of clutter on my desk or in my office. It gets me up out of my chair for a couple minutes. I feel like I’ve done something productive. It only takes a couple minutes because I do it almost every day. If my office space is clean, I might hop over to another room for a couple minutes to change my scenery and empty the sink, which inevitably always has a glass in it (how….).

Mental and physical breaks are good. They are important. Checking your email or scrolling on TikTok DOES NOT constitute a real break. A real break should bring you back more energized and make you more productive. Sometimes work can be draining and sometimes a little monotonous. It’s worth experimenting with little breaks to hit the reset button. Then maybe you’ll be singing along with me….

A-a-ay, I’m on vacation, every single day ’cause I love my occupation…

I said I’d define it:
Brief /brēf/: a short duration of time.

Short… I’m talking 5-10 minutes here. And I’m not talking every hour on the hour. Twice a day breaks are about right, once in mid morning and once mid afternoon. Don’t take a break in the middle of a task (unless you’re going cross eyed or making mistakes, then step away and clear your head).

In today’s world, it’s easy to be busy. In fact, I bet you’re really busy right now. You might be eating a sandwich, scrolling through Instagram stories, checking emails or even having a conversation with someone. (If in fact you are doing all of these things while reading this blog you can simply stop here; you are an amazing creature and there’s no advice I can give you).

Being “busy” can be a lot of things; checking your email, scrolling through your project management system, making checklists, or obsessively following a World Cup match. It can easily disguise itself as productivity, and can even feel like productivity, but it’s simply not. Many of us are great at being busy but can struggle to be productive. After all, if we’re busy, then surely you must be important, successful, valuable and living a full life. But to be honest, being busy is kinda lazy. It gives us a built in excuse to not get things done. How many times have you said “I can’t do that I’m way too busy…?” Don’t sweat it, I do it sometimes too, but let me share a few easy ways to turn being busy into being productive.

1. Create a system.
Busy people tend to develop productivity busting habits. Checking emails compulsively throughout the day, constantly looking at your phone, checking every single push notification as though your life depends on it; these are the habits of busy people. They actually make your brain run slower. A study at King’s College London University found that constantly switching between working on a defined task and pulling your attention to emails and cell phones actually alters your brain structure. This compromises your ability to focus. If your job permits, try and reserve short and specific time slots for managing your email. This will allow you to concentrate more on what is necessary to achieve your daily goals and be productive.

2. Take a break.
I say that within reason. Busy people tend to be glued to their desk, while productive people know when they need a break. Breaks are not for procrastinators. You need to give yourself the occasional moment to refresh. Take a quick 5 minute walk, watch a short video or go grab a snack. You can achieve greater productivity when you let your brain rest after a few straight hours of hard work. Try to take a mid morning and mid afternoon break but keep it short and sweet!

3. Don’t drown in the details.
Busy people sink, productive people get things done. Don’t overly obsess about the details when it’s more important to complete a task in a timely manner. Revise later when you have both completion and knowledge to work with.

4. Remove distractions.
I think it goes without saying that being distracted is the opposite of being productive. You’d be surprised how much time you could add to your life by removing the distractions that stand in the way, and really move your focus to work. Distractions can be physical (clutter on your desk), intangible (notifications on your phone or random web browsing), and people (the every day friend that just needs “5 minutes of your time”). Try making a list of your distractions during the workday and set a goal to eliminate one each week.

5. Tackle your most challenging tasks before lunch.
Your mind is fresh in the morning, so focusing on your most difficult tasks before noon is a no brainer. Save the small and tedious tasks for the afternoon if you can!

6. Stop multi-tasking.
This one is especially difficult for me. With multiple computer screens, multiple devices, and coincidently multiple hands, I feel like I’m a professional multi-tasker. But actually, changing tasks more than 10 times a day DROPS YOUR IQ an average of 10 points…. 10 points!! Be more effective and efficient (and smarter) by focusing on one task at a time.

It can be difficult to change your busy ways to be productive. Some of these things just might not be possible given your job. But make the choice today to be productive instead of busy. Make every minute count so you’re giving yourself the best possible chance to accomplish great things.

As the principal of a busy digital ad agency in Phoenix, it is my job to keep the company organized, keep our clients happy, make certain that projects are done on time and communicate with an owner that I would affectionately characterize as very ‘hands-on’. (pun intended)

Like many of you, email is my friend and my enemy.

Email went mainstream over 20 years ago, and still to this day it is by far the most popular form of business communication. It is very easy to spend the majority of any given day lost in a sea of messages.

A few years back I had read about a method called Inbox Zero. Simply put, it’s designed to clear your inbox everyday to zero. (In the marketing business that’s a name with a very short brand path). Since I get anxious when I see more than 5 emails in my queue it was imperative to me to implement my version of inbox zero:

First thing I do when I open my email is scan through my entire inbox (mind you I’m a person that doesn’t keep emails in her inbox, so in the morning once I get to work, I’ll have maybe 25 emails). My scan allows me to quickly delete anything that I don’t need, want, or am able to handle in less than 10 seconds. Things like a sales flyer from an apparel supplier, US Weekly letting me know Jennifer Garner went to the grocery store (in sweatpants mind you), etc. All those go away immediately.

From there I have two main folders that I work with. The FOLLOW UP folder is something that requires an action or a response that will take more than 30 seconds. A client emails me for a new job request, or I need to put together a quote for promotional products; I slide that email into my FOLLOW UP folder. These are emails that require a more immediate response, but it will take some work on my part before I can respond.

The HOLD folder is something that doesn’t require a quick response, but is something I need to get to at some point in the next day. Invoices, pertinent articles to read, emails from my family asking how the wedding planning is going, that kind of thing go to the HOLD folder. I’ll get to these once FOLLOW UP is empty, during the last few minutes of my lunch break, later in the day or at night when the boss is asleep.

That clears my inbox to zero, leaving time for me to keep the company running properly so clients are happy, projects are done on time and that owner guy can be a little more “hands off.” (pun intended)

Here is another tip: Spend a few minutes at the end of the week unsubscribing to anything that wastes your time. I promise you will survive if you didn’t read that Shutterfly is offering 5% off their custom photo blankets. Slide that pesky noise into a folder titled UNSUBSCRIBE. Or, just sign up at unrollme.com and take them all down at once!

Spring is here and many of us are cleaning out closets, pantries and other parts of our home that we might otherwise ignore. As a business owner it may be time to clean up your marketing efforts as well. It’s beyond obvious to say that marketing is changing. That change could potentially lead to stale or ineffective outreach efforts that don’t work.

As a leading ad agency in Phoenix, ReThinc Advertising encourages you to take a hard look at what you’re doing and who you are doing it with. And yes, I know that the primary recipients of this email are our clients.

At ReThinc, we regularly review what we do for our clients for two reasons. One, to make sure we are not charging them too much and two, to make sure they are not wasting their time or money on ineffective outreach.

Instituting change before you get into what can be slower, summer months (for some) is good as it can help you to minimize your seasonal slow down. For industries that benefit from warmer weather (i.e. air conditioning, travel and automotive repair) you can use spring to formulate a better, more impactful marketing strategy with things like attribution elements, enhanced SEM strategies or new creative advertising.

Ad agencies in Arizona should not be worried about clients who do a little spring cleaning. More often than not, a thorough review should result in a deepening of your relationship. Clients appreciate ad agencies that encourage review of the what, why and where of their ad expenditures.
